What's New in FieldGroove — August 2026

Written by Neil Abadie | Aug 21, 2026, 6:02:59 PM

This month's release is the biggest one we've shipped in years — and everything below is live in your account right now, nothing to install.

Introducing Barb · AI Reporting

Ask for any report in plain English — Barb builds it on the spot NEW

This is the biggest thing we've ever added to reporting. Type a question the way you'd ask a person — "what is each salesperson's pipeline," "show me invoiced totals by month this year," "which jobs haven't been invoiced yet?" — and Barb, your AI reporting assistant, builds the report right in front of you: drillable groups, filters, and CSV/Excel export included.

Not quite right? Just tell her what to change — "now group it by location," "add change orders" — and she rebuilds it. Save any report she makes and it's reusable for your whole team. And she's learning your business: reports you save become examples she learns from, and your thumbs-up/thumbs-down feedback goes straight to our team — several improvements in this very release came from questions customers asked in Barb's first week.

Sales Terms & Deposits

Set deposit rules once — every estimate follows them Opt-in

Decide per payment term whether a deposit is required and the default amount — a percent or a flat figure — and every new estimate for a customer on that term arrives with the deposit already set. Works with native terms and terms synced from QuickBooks or Sage Intacct.

Where: Settings → Term / Account Type → Sales Terms

3

Deposit Warnings

Never start a job without the deposit

If an accepted estimate is still waiting on its deposit you'll see a clear warning on the project — and it turns red the moment work gets scheduled or a partial payment comes up short, with the shortfall spelled out ("$500 of $2,500 received"). The same alert shows right inside the work-order screen, so the person scheduling the crew sees it too. Once the job is invoiced and paid, the warnings step out of the way on their own.

Where: automatic on estimates, projects, and work orders once a term requires a deposit

4

Email

BCC anyone, see exactly who opened it — and know right away when one bounces

Every send-email window now has a BCC field with the same quick-add picker as To and CC. Delivery status on estimates and invoices shows opens per recipient, and if an email can't be delivered, the sender gets a notification with the reason — so a quote never silently dies in a bad inbox.

Where: Send via Email on any estimate, work order, or invoice

5

QuickBooks Online

Credits, deposits & write-offs land in QuickBooks the way your accountant expects One-time setup

Customer credits sync as credit memos, deposits post as liabilities the day you receive them, and bad-debt write-offs go over as write-off memos — applied to the right invoices, so no more phantom cash inflating your QuickBooks deposits. Pick the three service items once and it's automatic from then on.

PDFs

Make every PDF look the way you want

The new PDF Document Studio puts your estimates, invoices, work orders and other printables under your control — headers, columns, and rendering style, per document, with a live preview. Preserve-by-default: every PDF keeps rendering exactly as it does today until you save a change.

Where: Settings → PDFs

Barb stays off until an administrator enables her, deposit rules apply only after you set them on a term, your PDFs are unchanged until you save a setting in the Studio, and QuickBooks credit sync waits until you pick its items. Questions? Reach us at support@fieldgroove.com.
